“Project Coordinators” are the training ground for future QM Project Managers. You will take on progressively more challenging tasks and more responsibilities on your path towards eventually bidding, contracting and delivering your own projects.

This is a front-line operations role, in which you assist the Project Manager while you gain progressively more experience on job sites with every aspect of the project life cycle.  You will support the Project Manager from start to finish, ensuring that projects are safely and profitably completed according to the schedule, budget & contract document. 

POSITION SUMMARY

Reporting directly to the Project Manager(s), Project Coordinators act as deputies, interleaving routine project management tasks and continuous improvement with time-sensitive, focused assignments to attain specific objectives or solve specific problems. You will be required to reliably and diligently deliver mundane tasks while also thinking creatively, expanding your skills and knowledge, and problem-solving to help the Project Manager with non-routine challenges, delivering work scopes to our motto of “Done Safely, Without Compromise”.

RESPONSIBILITIES

You will work with experienced Project Managers and technical staff to develop your skills finding, bidding, contracting, delivering and closing-out projects. Over time – while never losing sight of the immediate objective of delivering our current projects safely and profitably – your responsibilities will include (but not be limited to):  

Project Management Support                                                                        

  • Ensure project requirements are met in a timely and professional manner, including data collection, analysis, and presentation, as well as the development and implementation of submittals such as health and safety plans, quality management plans, traffic management plans and environmental management plans
  • Work with knowledgeable field staff to prepare accurate estimates for resourcing, cost and schedule
  • Obtain quotes and estimates from vendors and subcontractors
  • Prepare contractual agreements, purchase orders, change orders and claims with respect to consultants, clients, suppliers and subcontractors
  • Prepare and process purchase order requisitions
  • Document items received under purchase orders and review vendor invoices
  • Plan and prepare Critical Path Method (CPM) milestone construction schedules and monitor progress against established schedules
  • Monitor and follow up with subcontractors and staff to ensure work is being completed safely, on schedule and on budget to the specific requirements of the project contract documents
  • Identify out-of-scope work before it commences, bringing it to the attention of the Project Manager
  • Detect, control and report cost and schedule variances for assigned tasks
  • Attend mandatory site meetings with, or as the delegate for, the Project Manager
  • Compile and distribute meeting minutes and action lists
  • Assist Project Manager with compiling and issuing progress billings

Business Development

  • Detect and develop “add –on” opportunities, where added scope can be a win-win for QM and QM’s existing clients
  • Search for, summarise and distribute public and private bid opportunities
  • Assist with the preparation of quotes, proposals, expressions of interest and statements of qualifications
  • Compile and maintain project information sheets (“project profiles”)
  • Identify and document unique project aspects for presentations at conferences and seminars
  • Take an active role in industry-related associations and events to build QM’s brand and your personal network

Documentation Support

  • Obtain project numbers/create files
  • Maintain file hierarchies and naming conventions
  • Maintain and update standard project checklists
  • Verify that that records are complete, current and compliant with contract requirements
  • Obtain Certificates of Insurance, Consent of Surety forms, bid bonds, etc.
  • Obtain/maintain business licenses, permits, authorizations, utility clearances, access agreements and crossing agreements for relevant job locations and job aspects
  • Ensure records of meetings, orientation forms, training forms, inspection sheets, truck tickets, bills of lading, receipts, time sheets, manufacturer’s information packages and pre/post rental equipment photographs are collected and properly filed by the project team
  • Prepare field packages for Superintendents
  • Maintain accurate and up-to-date records of bid documents, initial contract documents, change directives, contemplated change notices, change orders, non-conformance reports, corrective action plans, inspection reports, product information submittals, QA/QC testing submittals, requests for information and supplemental information issuances

Health and Safety

  • Read, understand, follow and display (lead by example) the Corporate Health and Safety Program, Policy and Procedures
  • Participate in and/or lead Health & Safety meetings, discussions and training
  • Conduct Job Safety Assessments, safety inspections and pre-task Hazard Assessments
  • Constantly assess operator technique, fitness for duty, and opportunities for improvement
  • Ensure health and safety is considered in the performance of all activities
  • Support local Health and Safety Coordinators

Technical Application

  • Understand and apply relevant principles of heavy construction/earthmoving, environmental remediation/environmental chemistry, and bioengineering/ecological restoration
  • Map workflows and conduct detailed analysis of, e.g., crew composition, productivity, sequence, routing, cycle time and other variables to improve safety and performance
  • Pursue both formal and informal, both free and company-sponsored, training to ensure QM is using “best practices”
  • Identify new trends, tools and approaches that can make QM’s work safer, more profitable and more environmentally beneficial

Other Duties

  • Use your creativity, enthusiasm and problem-solving abilities to handle any of a wide range of (often time-sensitive) project issues as requested by the Project Manager

QUALIFICATIONS

Education

  • Graduate from both a secondary and a post-secondary institution
  • Degree work in civil, geotechnical, or environmental engineering preferred
  • Field experience may be considered in lieu of formal post-secondary credentials

Experience

  • In preparing earthworks, environmental remediation or ecosystem restoration estimates
  • In managing employees with at least two (2) years of direct responsibility for resource allocation, management responsibilities, and administration of prime contracts, subcontracts, and contract changes in environmental remediation, ecosystem restoration, earthworks, heavy construction, land reclamation or waste treatment
  • In reviewing environmental reports, geotechnical reports, archaeological surveys, habitat/wildlife surveys, and hazardous materials building assessments for the impacts on means & methods, worker health and safety, environmental protection and regulatory compliance

Knowledge

  • Of heavy equipment, earthworks and environmental chemistry
  • Of environmental legislation, standards, and guidelines related to excavation safety, soil contamination, groundwater contamination, surface water contamination, soil vapour and worker airspace hazards, erosion/sediment control, hazardous building materials, hazardous wastes and the transportation of dangerous goods
  • Of ground disturbance and trenching/excavation safety
  • Of tender and construction management law, processes and related contractual conditions
  • Of common (e.g.,  CCDC & CCA) contracts and forms
  • Of “reference specifications” such as Ontario Provincial Standard Specifications (OPSSs) and Drawings (OPSDs), as well as Master Municipal Construction Documents (MMCD) and National Master Specification (NMS)
  • Of MS SharePoint and MS Teams
  • Of software including, but not limited to, MS Excel 2010 or newer, MS Project (or similar), and ERPs (MS Dynamics or similar)
